Email

You can send email from TaxAdda PMS to individual client or also in bulk.

TaxAdda PMS only facilitates sending email easily using templates and bulk sending. Email will go from user’s email account only. You can send using your gmail or any other email id.

Sending email from TaxAdda PMS will give you two advantages. First is that you can use templates to save the common messages and you didn’t need to type or copy/paste message every time.

Second is that you can send reminder messages to only those clients which are required to file a particular return. For example: select GST, then select normal, then GSTR-3B then May 2020. Only those clients are listed which needs to file GSTR-3B for May 2020. Other clients such as who are registered in composition scheme, has cancelled registration before May 2020 are filtered out.

Also, there status of tasks are shown and you can filter on its basis. If you want to send email to only those clients whose status is Pending then you can filter and then send email to only those clients.

Sending Individual Email

To send message to individual client, click on message icon in any client page.

or in action column in task list.

On clicking message icon, a popup will come with three tabs of sms, email and whatsapp.

The client is automatically selected and client’s email id is shown. You can select email template and make edits in it, if required. Click on send email button and a new tab will open in your browser like below. Click on send button to send the email.

Sending Email in Bulk

When you use bulk email options then all email ids are automatically added in BCC, so any client will not be able to see email id of all other clients.

To send bulk email, go to Messages >> Email >> Bulk Send and all the clients will be shown. The clients in which there is no email id will come as grey.

Now all clients will get listed. So that you can send email to all of your clients. You can keep on filter clients by selecting radio buttons or dropdowns.

You can select GST or Income tax, if you select GST, then all clients which only has Income tax as ticked will get filtered out. Then you can select the return type and also return period (only in case of GST). Those clients will be filtered out which are not required to file that return or for that period. This way you can send very targeted messages. You can also select/deselect the clients.

If you have selected all fields then a new column will come with the status of that task for each client. If no task is created then it shows task not created. You can further filter clients on basis of status and then send email. It can be used to send email to clients whose task is in specific stage. For example: You can send email to only those clients for GSTR-3B June 2020 who has pending status.

After selection, click on send email and a popup will open like below. Select the template or write message and click on send to send the email.

To add email templates, go to Messages >> email  from left menu and click on  +Add Mail Templates button.

Setting Gmail as Default Email in Chrome

If the chrome is not properly setup then this functionality may not work. If you are getting a blank screen on send email button or any other email client (outlook or thunderbird) opens which you do not want to use then you can use below steps to set gmail.com as your default email and from next time mail.google.com will open on clicking send email button.

  1. Go to mail.google.com and click on this icon. Click on allow and then button of “Done”. It is now setup. If this icon is not visible then go to next step.
  2. In url bar copy-paste chrome://settings/handlers and press enter. This will open a settings page as below. Confirm that this option is on. Also check that mail.google.com is not in the blocked list as shown below, remove it from blocked list by clicking the cross icon against it. Afterwards, you will start seeing icon as showing in step 1.
  3. Click on 3 dots after mail.google.com and click on Set as default. If it is already set as default then this option will not come.
  4. Now whenever you will click on Send email in TaxAdda PMS, gmail.com will open by default.

Setting outlook.live as Default Email in Chrome

To set outlook.live.com as default email in chrome, follow the following steps.

  1. Go to chrome://settings/handlers and confirm that outlook.live.com is not blocked.
  2. After confirming, go to outlook.live.com and let the page load. Make sure that in url bar it is showing outlook.live.com.
  3. Click Ctrl + Shift + J. It will open a dialog box like below.
  4. Copy paste this line as shown in image above and press enter.  – navigator.registerProtocolHandler(“mailto”, “https://outlook.live.com/?path=/mail/action/compose&to=%s”, “Outlook Email”);
  5. Another dialog box will open like below and click on Allow. Now outlook.live.com is your default email.

Setting Zoho Mail as Default Email in Chrome

If the chrome is not properly setup then this functionality may not work. If you are getting a blank screen on send email button or any other email client (outlook or thunderbird) opens which you do not want to use then you can use below steps to set mail.zoho.com as your default email and from next time mail.zoho.com will open on clicking send email button.

  1. In url bar copy-paste chrome://settings/handlers and press enter. This will open a settings page as below. Confirm that this option is on.
  2. Here check that mail.zoho.com is not in the blocked list. If it is coming in blocked list then remove by clicking on cross icon.
  3. Now go to zoho mail and click on settings. Go to System and find Mailto Handler and click on click here. Click on Allow in browser notification.
  4. Check in chrome://settings/handlers and it will start showing in email section. It should be the default email. If not, then click on 3 dots and then on set as default. Now you can use TaxAdda PMS to send emails using zoho email.
  5. Now whenever you will click on Send email in TaxAdda PMS, mail.zoho.com will open by default.
